withYOU are looking for an Executive Support Assistant, who will report to the Head of Finance and Resources and provide administrative support for the Chief Executive and Senior Leadership Team (SLT) ensuring smooth operations and efficient workflow.

Regular travel to withYOU’s service locations will be required.
 
Responsibilities of the role
Executive Support
·       Oversee the upkeep of a calendar of key events for the CEO and SLT (e.g.
regular Service Manager, SLT and Board meetings, and meetings with
Regulatory bodies).
·       Prepare agendas, track action items and take minutes for all meetings.
·       Act as the secretary to the CEO and support the CEO in managing appointments, prioritising workload and ensuring any necessary items are flagged for attention or action.
·       Conduct research and compile information as requested for reports and presentations.
·       Prepare and distribute memos, emails, and other correspondence.
·       Assist with travel arrangements and expense reporting.
·       Maintain confidentiality of sensitive information.
·       Handle incoming calls and inquiries with professionalism and excellent phone etiquette.
·       Circulate Risk Register to SLT for updates.
·       Responsible for policy register and ensuring updates are applied.
·       Assist with special projects as assigned.

·       Previous experience in an executive support role or administration or business area.

·       team members and the ability to take direction as well as work independently.

Role of the Digital Officer 
Technology is recognised as an essential tool to enable withYOU to deliver quality Social Care Services successfully.
The role of the Digital Officer is important. Firstly, to ensure that technology is accessible and is running smoothly and efficiently on a day-to-day basis. Secondly to help the organisation fully leverage technical solutions to their full ability whether new or legacy.
The post holder will be assigned a base office but is expected to travel to other locations where required. It is essential that the postholder is proactive, approachable and is able to engage effectively across our services and at different levels of the organisation.
 
Responsibilities of the Digital Officer
  • Supporting the Head of Digital to deliver withYOU’s Technical/Digital Strategy.
  • Work with external IT Service Partners to ensure systems achieve operational, security and performance service level agreements.
  • Working on-site where needed and supporting resolution of technical problems as quickly as possible.
  • Where required set up and maintain PC’s, Laptops, Mobile Phones and other various hardware devices in line with withYOU’s standard device configuration and warranty agreements.
  • Maintain the IT device inventory ensuring clear visibility of warranty information.
  • Providing and supporting both new and legacy technologies, such as Microsoft 365, that enable staff to collaborate and communicate across the public sector and beyond.
  • Participate in the investigation of new and innovative technologies to deliver improvements, savings, and efficiencies.
  • Delivery of small to large scale solutions for services.
  • System administration for core withYOU applications including but not limited to our time and attendance application, mobile phone administration and care management system.
  • Help to establish a Digital Champions framework within the organisation to support the organisation to become more digitally capable.
Joint Working
  • Develop and maintain relationships with staff internally to ensure that IT systems operate in line with the organisation’s operational requirements.
  • Attend Digital Champion workgroups.
  • Represent withYOU externally, as required.

About the Service

We provide tenancy, emotional, and social support to young adults in their own homes in partnership with local authorities and housing associations. We also offer pre-tenancy support to individuals who require housing but are not quite ready to move in. We support individuals with their emotional, social and tenancy needs. Supporting them to access their local community, attend college, appointments, work, or voluntary experiences. We support a visiting support model, where we work closely with a local housing association to provide supported tenancies both furnished and unfurnished for young people who are transitioning into their first accommodation We also provide the same support through our outreach model, where individuals live in their own tenancies.  Within our outreach programme, we support individuals who choose to self-manage their support needs through Self Directed Support. This role does not involve personal care.

Additional Notes 
  • Shift work, weekend work and sleepovers may be a requirement of this role. Flexible working arrangements are also available. These can be discussed at your interview.
  • PVG scheme membership and SSSC registration are requirements of this post.
