withYOU are looking for an Executive Support Assistant, who will report to the Head of Finance and Resources and provide administrative support for the Chief Executive and Senior Leadership Team (SLT) ensuring smooth operations and efficient workflow.

Regular travel to withYOU’s service locations will be required.
 
Responsibilities of the role
Executive Support
·       Oversee the upkeep of a calendar of key events for the CEO and SLT (e.g.
regular Service Manager, SLT and Board meetings, and meetings with
Regulatory bodies).
·       Prepare agendas, track action items and take minutes for all meetings.
·       Act as the secretary to the CEO and support the CEO in managing appointments, prioritising workload and ensuring any necessary items are flagged for attention or action.
·       Conduct research and compile information as requested for reports and presentations.
·       Prepare and distribute memos, emails, and other correspondence.
·       Assist with travel arrangements and expense reporting.
·       Maintain confidentiality of sensitive information.
·       Handle incoming calls and inquiries with professionalism and excellent phone etiquette.
·       Circulate Risk Register to SLT for updates.
·       Responsible for policy register and ensuring updates are applied.
·       Assist with special projects as assigned.
Person Specification
Education and/or Professional Qualifications
Essential
·       SCQF Level 7 (or above) qualification in administration,
.
Desirable
·       SCQF Level 8 (or above) qualification in administration,
Experience & Skills
Essential
·       Previous experience in an executive support role or administration or business area.
·       Strong organisational skills with the ability to prioritize tasks effectively.
·       Excellent ICT skills required, including existing familiarity with
·       Microsoft365.
·       Demonstrated ability to work well under pressure and cooperatively with
·       team members and the ability to take direction as well as work independently.
·       Proven ability, via previous working experience, of working on own
·       initiative, to problem solve, to be able to complete a range of very varied tasks.
·       Familiarity with general office equipment and procedures.
Desirable
·       Prior experience with coordination and management of schedules and
meetings desirable.
·       Social care sector experience
